When you use the contact form

We collect your name, email address and the message you send us. We use this to respond
to your enquiry and to begin a conversation about your project. Your details are stored in our
email system (Google Workspace) and our customer relationship management system
(Capsule CRM). We keep this information for as long as we have a legitimate business
reason to do so — typically for the duration of any working relationship and a reasonable
period afterwards.
Lawful basis: legitimate interest — responding to your enquiry and managing our client
relationships.

03 — When you subscribe to our mailing list

If you choose to subscribe to our mailing list, we collect your name and email address. We
use Mailchimp to manage our mailing list. Your information is stored on Mailchimp’s servers,

which may be located outside the UK. Mailchimp operates under standard contractual
clauses approved for international data transfers.
You can unsubscribe at any time using the link at the bottom of every email we send.
Lawful basis: consent — you actively choose to subscribe.

04 — When you browse the website

We use Google Analytics 4 to understand how visitors use this website — which pages are
visited, how long people spend on them, and how they arrived. Google Analytics uses
cookies to collect this information. The data is anonymised and we cannot identify individual
visitors from it.

Our website hosting provider is for the technical delivery of this website. Each of these services has its own privacy policy and processes data in accordance with UK
data protection law or under approved international transfer mechanisms.

07 — How long we keep your information

Contact form enquiries: retained for the duration of any working relationship and for up to
two years afterwards, unless you ask us to delete your information sooner.
Mailing list subscribers: retained until you unsubscribe.
Analytics data: retained within Google Analytics for 14 months, then automatically deleted.

08 — Your rights

Under UK data protection law, you have the right to:

Access — request a copy of the personal information we hold about you.
Rectification — ask us to correct anything that is inaccurate or incomplete.
Erasure — ask us to delete your personal information where there is no compelling reason
for us to keep it.
